The Infrastructure Department is pleased to announce the launch of a new Service Request and Complaint System for community members.

This new system is being introduced as part of our ongoing efforts to improve service delivery, communication, accountability, and response times across the Infrastructure Department. It will provide a centralized process for receiving, assigning, tracking, and resolving community service requests and concerns.

What Services Are Covered?

• Roads and Public Works – road maintenance, potholes, drainage, and other public works concerns

• Maintenance – building, facility, and general maintenance requests

• Waste Management – garbage, recycling, waste collection, and other waste-related concerns

• Water Department – water service issues, interruptions, leaks, pressure concerns, and other water-related matters

How to Submit a Request or Complaint

Community members are encouraged to use the following dedicated contact methods:

Phone: 519-797-3934
Email: stephanie.roote@saugeen.org
In Person: Community members may also visit the administrative office to submit a request or concern.

What Happens After You Submit a Request?

Every service request or complaint received through the dedicated channels will be entered into the Infrastructure Department’s service request system and directed to the appropriate department for action.

The request will then be tracked from the time it is received until it is resolved. This will allow the Infrastructure Department to monitor outstanding requests, follow up with the responsible department, and identify recurring service issues within the community.

If a community member feels that a request has not been adequately addressed or that the service provided was unsatisfactory, they are encouraged to contact us again using the same dedicated channels. The matter will be reviewed and, where necessary, investigated and followed up.

Why Are We Introducing This System?

• Ensure requests are properly recorded and assigned;

• Track requests through to completion;

• Improve accountability and follow-up;

• Better coordinate the work of our departments;

• Identify recurring community concerns and service needs; and

• Improve the efficiency and timeliness of service delivery.

Please Use the Dedicated Contact

To ensure that your request or complaint receives the appropriate attention and follow-up, community members are asked not to contact individual department managers directly for service requests or complaints.

Department managers are responsible for managing their respective operations, and requests made directly to them may not be entered into the centralized tracking system. As a result, the request may not receive the same level of tracking and follow-up.

If you need a service, have a concern, or wish to lodge a complaint, please use the dedicated contact information above. This will ensure that your request is properly recorded, assigned, tracked, and followed through to resolution.

Emergency Services

This new process applies to the Infrastructure departments identified above. Fire and Emergency Services are not included in this process.

For emergencies, community members should continue to use the dedicated emergency contact numbers that have previously been provided.

Working Together to Improve Our Community

The Infrastructure Department is committed to continuously improving how services are delivered to the community. This new system is an important step toward creating a more organized, transparent, accountable, and responsive service process.

We encourage all community members to follow this process and to share this information with family members, neighbours, Elders, and other community members so that everyone is aware of how to submit a service request or complaint.

Your concerns matter. Your requests will be heard, tracked, and followed through.
